Most organisations do not have a procedure problem, they have a register problem. The procedures exist: forty-eight Word files on a shared drive, three of which contradict each other, two of which name somebody who left in 2023, and none of which anybody can prove was read. Sopvo holds the register instead: one row per procedure with an owner, a version, a review date and the signatures against it. The two worksheets below are free and answer the questions that usually start this off.

  • Every procedure has a name against it. Not a department, a person. A procedure whose owner left is the most common thing in a neglected register, and it is invisible until somebody follows the document and finds it wrong.
  • One current version, and the ones before it. Two files called onboarding-final and onboarding-final-v2 is not version control, it is a coin toss. The register says which one is current and keeps the others readable rather than deleted.
  • Evidence that somebody actually read it. Publishing a procedure is not communicating it. A signature against a version, with a date, is the difference between a procedure the organisation follows and a document it merely owns.
