The Therapy Productivity Calculator is a free, browser-based tool that takes your start time, billable therapy minutes, and productivity target and returns your exact total time worked and clock-out time — along with a suite of allied calculators for lunch breaks, concurrent sessions, and billing units.
This is a web-based productivity calculator for therapists (PTs, OTs, SLPs) and clinic managers. It solves the core productivity formula: Productivity % = Billable minutes ÷ Total time worked × 100, and produces the Total Time Worked and a Perfect End Time from just three inputs. The tool runs entirely in the browser with no login or account; optional settings and saved shifts are stored locally on your device. The tool uses the relationship: Productivity % = Billable minutes ÷ Total time worked × 100. So for a given target, Total time worked = Billable minutes ÷ (Productivity % ÷ 100), and Perfect end time = Start time + Total time worked. For example, a start of 8:00 AM, 306 billable minutes, and an 85% target give 306 ÷ 0.85 = 360 minutes (6 hours), ending at 2:00 PM. The calculator truncates fractional minutes rather than rounding up, so the actual end time may land a touch earlier than the target suggests.
