Duesvo is for the person who keeps the list: the administrator of a small nonprofit, the secretary or treasurer of a club, the organiser of an alumni chapter or a professional association, usually one person with a spreadsheet, a renewal date they are chasing and a committee asking how many members there are. The free membership database template lays out the fields a membership record actually needs and works out what keeping the list costs in hours across a year. Duesvo Pro holds every member with their tier, join date and renewal date, records the dues as they are paid, and issues a digital membership card the member can keep on their phone.

For bodies with more than one person on the record

When a secretary keeps the list, a treasurer keeps the payments and a membership officer chases renewals, three spreadsheets disagree by the end of the year. One record they all work is the point.

What Duesvo keeps for a membership body between one renewal and the next
  • Every member with a tier, a join date and a renewal date. A spreadsheet holds names. A record holds when somebody joined, which tier they are in, when they lapse and what they have paid, which are the four questions a committee actually asks and the four a spreadsheet answers worst.
  • Payments recorded against the member who made them. The treasurer's hardest hour is matching bank lines to members. Recording the payment against the member at the moment it is taken removes that hour, and makes the arrears list something you can read rather than reconstruct.
  • A digital card issued from the same record. A membership card is a claim about the record, so it should be issued by the record. Cards go out with the member's tier and expiry on them, and a lapsed member's card lapses with the membership instead of living on in a wallet.

The fields you laid out become the member record; the renewal dates become a list of who lapses this month; the dues become payments recorded against a member rather than a bank line nobody can match.
