ReceivableLedger is not an accounts payable system, has no invoice scanner and no factoring desk, and it is not going to get them. Every figure on every document is there because someone who sells on account needs the proforma, the statement and the tracker to agree before the customer is asked to pay.

  • Lines, discount, tax on the discounted goods, freight, one total. Ten at $45, four at $120 and two at $15 are $960 of goods; a 5% trade discount takes $48 off; sales tax at your rate applies to the $912 that remains, $72.96 at 8%; $25 of freight goes on after; the proforma total is $1,009.96, worked before the goods ship.
  • Opening balance, invoices, payments, credits, closing balance. $1,600 brought forward and $3,400 invoiced is $5,000 on the account; $2,900 paid and a $100 credit note bring the closing balance to $2,000, up $400 on the period, with 58% of the account settled. The same arithmetic every month, in the order the customer reads it.
  • Every invoice and statement filed against the customer. Customers on account, invoices from issued to paid, the statements sent and the reminders chased file themselves against the customer, so the dispute about the March balance has the paperwork to hand. Everything exports.
